Questions to Ask Before Booking a Wedding Venue

A practical checklist of questions to ask any wedding venue before you sign — capacity, vendor rules, rain plans, timelines and hidden costs.

Capacity and Layout

Ask for exact numbers by layout: ceremony seating, reception rounds, and standing cocktail hour. A venue that only quotes one 'max capacity' figure hasn't thought through how your day actually flows.

Vendor Policy

Confirm whether catering is in-house or open to outside vendors, and whether there's a preferred vendor list for florals, rentals and production. This affects both your budget and your planning timeline.

Timeline and Access

Ask when your vendor team can start setup and when breakdown must be complete. Venues with tight turnaround windows can create real stress on wedding morning — know the schedule before you sign.

Weather Planning

For any venue with outdoor components, ask specifically what the covered alternative looks like — not just that one exists. A rain plan that seats half your guest list isn't a real rain plan.

What's Actually Included

Tables, chairs, basic lighting, parking and a day-of coordinator presence vary widely between venues. Get a written list of what's included in the venue fee versus what's an add-on before comparing pricing across venues.
